What are the E-Verify program’s privacy guidelines?

E-Verify deals with a lot of personal identification information. This information needs to be protected and kept private and can only be used for the reasons specified by E-Verify. E-Verify highly recommends that employers ensure that the only people dealing with information and creating cases are authorized users. All passwords used to open E-Verify should be confidential. All employee information should be kept in a protected and secure location and should only be accessible to the proper users. All conversations regarding E-Verify case results should be done in private.
If the employee’s private information is not protected, it could have detrimental consequences, which include but is not limited to identity theft or fraud. Employers need to be careful to keep their employees’ information safe.

Who are the authorized users for E-Verify?

Companies enrolled in E-Verify need to decide which of their employees should have access to E-Verify, and what level of access. Every user is responsible for following and staying informed about the rules detailed in the E-Verify User Manual. There are three types of users, each with their own level of access and functions. The three user roles are program administrator, general user, and corporate administrator.

Every company needs at least one program administrator.

Program administrator’s features include:
  • Registering new users
  • Creating user accounts for other program administrators/general users
  • Creating E-Verify cases
  • Viewing reports
  • Updating profile information for other program administrators/ general users
  • Resetting user passwords
  • Closing company and user accounts

Companies do not need a general user, but they can have as many general users as they want.

General User’s features include:
  • Creating E-Verify cases
  • Viewing reports
  • Updating their own user profile

The Corporate administrator role is only available to companies that enrolled under corporate administrator access method. They cannot create E-Verify cases.

Corporate Administrator’s features include:
  • Registering and administering company sites/ user accounts
  • Resetting user passwords
  • Viewing reports for multiple company locations
  • Closing company and user accounts
